Job Objective

We are now seeking for an Admin Associate to be a part of our Administrative Affairs Department. The main responsibilities and the specifications for the role are shared below:

What We Expect

Drink Allowance & Warehouse

  • Provision of beverages given monthly to employees and consumed in offices in accordance with relevant procedures.
  • Managing warehouse operations including inventory management, reporting, stock management, monthly reports. 
  • Coordinating legal documentation.

Cleaning Services;

  • Ensuring the cleaning services are executed as planned with legal agreements.
  • Auditing the cleaning services by daily field visits.
  • Controlling the annual leaves and overtimes of 3rd party employees

Coordinating postage services in a daily manner, support car fleet team.Making daily audits. Sharing the results with technical team. 

  • Ensuring all employee needs such as internal consumption, cafeteria services, stationery are always ready to serve.

Dining Hall

  • Controlling the daily menu and making daily hygene audits.
  • Organizing the external audits.
  • Ensuring the standards of HACCP, TSE in dining hall. 
  • Ensuring the alignment of agreement. 

Attending OHS monthly meetings, resolving OHS issues in the relevant location, reporting possible risks to the OHS team.

Budget Management: Creating purchase requests for the needs of locations in response. Follow up rent, utility, subscription payments of the location in response and make materials and invoices delivery on SAP system.

Event Management; Organizing the activities that are decided to be carried out annually or at determined periods. 

Outsource Employee&Subcontractor Management: Management of subcontractors and outsource employees.                                             

Lunch Ticket Management of Sales Team 

  • Coordinating the ticket for the Sales team. 
  • Collabaration with related parties ( HR,Finance, Purchasing)
  • Invoice management and order management of tickets

Employee Shuttle 

  • Define optimum shuttle routes and manage complaints.
  • Communicating with the employees. 
  • Service bus company management and invoice management. 

Legal Authorities&Liabilities

  • Follow up all kind of legal payments of facilities in response
  • Communicating with govermantal bodies for legal liabilites
  • Inform related departments in case of a legal issue

Reception;Ensuring the high quality service provided by the reception team. Managing the reception employees.

Free Product Service; Follow up İşporta free product services and Employee's orders; Make sure that all İşporta processes are in line with CCI's inventory policies&procedures during stocktaking

Meeting Rooms Management: To ensure that all the meeting rooms in HQ are used in an appropriate, effective and efficient manner. To make daily control and organize demands for meetings.
 

Capabilities

  • Undergraduate Degree (preferably in Social Sciences and Business Administration)
  • Advanced level of English
  • 2-4 Years of overall experience
  • Effective communication and presentation skills
  • SAP knowledge is an asset
